Step 1 — Upload Your Vendor Documents
The demo begins by uploading three enterprise server datasheets: Dell PowerEdge R750, HPE ProLiant DL380 Gen10, and Lenovo ThinkSystem SR650. Each PDF is between 4 and 8 pages and contains CPU specifications, memory configurations, storage options, networking capabilities, power consumption, warranty terms, and pricing tiers. In a real procurement scenario, gathering these three documents from vendor websites alone typically takes 30–60 minutes. In the demo, all three are uploaded simultaneously in under 10 seconds.
Step 2 — AI Extracts and Normalizes Specifications
Once uploaded, SpecLens AI begins reading each document. It identifies 47 distinct specifications across the three datasheets — including specs that use different terminology across vendors (for example, Dell calls it "Dual Intel Xeon" while HPE writes "2x Intel Xeon Scalable"). The AI normalizes these into a consistent vocabulary so the comparison is truly apples-to-apples. Every extracted value is linked to its source page number with a relevance score, so you can click any cell in the final matrix and jump directly to the original document passage it came from. This entire extraction process completes in under 90 seconds.
Step 3 — Review the Comparison Matrix
The output is a structured side-by-side comparison matrix with all 47 specifications organized by category: Processing, Memory, Storage, Networking, Power, Management, and Warranty. Gaps — specifications present in one vendor's datasheet but missing from another — are highlighted in amber. The matrix also generates an AI executive summary that identifies the top differentiators between the three vendors and flags the specification gaps most likely to affect the purchasing decision. In the demo, the executive summary highlights that only one vendor includes a 5-year warranty as standard, and that memory expansion capacity varies significantly.
Step 4 — Export and Share
The final step demonstrates exporting the comparison matrix to Excel for detailed analysis, PDF for procurement documentation, and PowerPoint for stakeholder presentations. The exported files retain all source citations, gap annotations, and the executive summary — giving procurement teams a complete, audit-ready record of their vendor evaluation process.
